We spoke with Kairit Rabane, OlyBet Employee Experience Coordinator, about her experience driving OlyBet’s Cornerstone OnDemand onboarding and Octily customization experiences.

The Starting Point: The Initial Welcome Page
Can you tell us about your role at OlyBet and how employee engagement fits into your HR strategy?
Kairit Rebane: “When I joined OlyBet, HR was managed country by country with no overall system. My role as the Employee Experience Coordinator was to onboard a corporate-wide system that would focus on our people and create a common culture across countries and nationalities. Our goal with Cornerstone was to digitize our full employee life cycle across multiple languages and countries. We needed Octily to take Cornerstone out of the box, focus on the User Experience, and help us create OlyBet’s corporate culture. A key employee engagement goal was to add dynamic elements to the Welcome Page that would motivate employees to log in to Cornerstone each morning as they began work. We wanted our people to want to take a fresh look at OlyBet every day to help spread corporate culture across multiple countries and teams.”

What led to the decision to start with a Custom Welcome Page, and what challenges were you trying to solve at that stage?

Kairit Rebane: “While Cornerstone provided us with the powerful centralized HR system we needed to manage our people in multiple countries, the employees’ first experience – the Welcome Page – didn’t inspire engagement or support our goals as a People Company. We needed to customize Cornerstone as our own with improved functionality, a match to our corporate branding, and user-friendly interaction.”

The first version had a small news section that Octily manually updated. How did this setup work, and when did you realize you needed something more scalable?

Kairit Rebane: “Our first attempt to add a News section to the Welcome Page didn’t work well. We could not make the updates in-house, so we needed Octily’s help for every change. We needed something better that we could administer in-house. This would allow us to engage with people, get their feedback, and see what interests them. We also wanted to add a data analytics component so we could continuously review and improve the quality of our communications.”

The Turning Point : A New Approach to Employee Engagement
After the internal style guide redesign, what changed in your approach to HR communication and engagement?
Kairit Rebane: “As the company grew and expanded, a corporate brand redesign allowed the People Team to update and improve our Cornerstone solution. Our goal continued to focus on employee engagement and user-friendliness.”
How did forming a dedicated project team (Employee Experience Coordinator, People Engagement Partner, Group Employee Engagement Lead) change the way you worked on these projects?

Kairit Rebane: “Our team of three had different skill sets – visual, technical, and engagement – that worked together to build our strategy. One person had excellent brand knowledge, another was technically strong and understood the mechanics and logic of the system, and the Engagement Partner was skilled in communications and outreach. Each brought in a different experience, but all were focused on the best user experience: simple, friendly, and easy.”

What were the key objectives when designing the External Career Site and custom pages?

Kairit Rebane: “We wanted to create an external career site with more than just a listing of Open Positions. We wanted it to showcase who we are and what it’s like to work at OlyBet. Octily helped us add pages around our mission and values that reflect our corporate culture. In addition, we wanted to showcase our brand and make the process very easy for each applicant. The External Career site is the first step for future OlyBet All Stars, and we wanted the fun feeling to flow from their first interaction throughout their career.”

You also customized the Cornerstone OnDemand login screen to match your brand’s unique styling, including a background video. Why was this an important part of your employee experience strategy?
Kairit Rebane: “Visual branding at login helps employees feel connected and assured they are at the right place. We want to create a connected and fun feeling, with warmth and energy, to propel them forward each day.”

Creating a Seamless Employee Experience
How did expanding to internal engagement tools , like the Internal Career Site, Onboarding Page, and MyGuidelines Template Page, align with your employee engagement goals?

Kairit Rebane: “Our success in employee engagement is all about improved communication and transparency. We have seen a 45% increase in sign-ins over just a few months. You see the same vibrant energy and consistent branding everywhere you look online. It doesn’t matter if you’re on the External Career Site, the Onboarding pages, or the Welcome Pages; the essence of OlyBet shines through.”

Your redesigned Welcome Page now includes articles, new hire introductions, internal job openings, quick links, and an article archive. How have these features changed how employees interact with company updates?

Kairit Rebane: “Seeing how dynamic the Welcome Pages have become is exciting. When we post a News article, we can see the reactions, like likes and comments, and we see more people engaging with each other in the comments section. This is a key part of our culture-building strategy, providing a communication center that brings together people from different parts of the company.”

How have Browser Notifications helped with keeping employees informed and engaged?

Kairit Rebane:
“We haven’t launched the Browser Notifications system yet, but we are very excited about its potential. This push activity should boost engagement on the site as people become aware of the rich content we’re providing.”

Lessons and Future Plans
Looking back, what are the biggest takeaways from this journey?

Kairit Rebane: “OlyBet’s work with Octily shows how the right tools and a dedicated team can really boost employee engagement with Cornerstone. Instead of just sharing news, we created a space where employees feel connected, informed, and supported in their careers. It all comes down to the kind of culture you want to create. In the OlyBet People Department, we aren’t building a system for the HR team but for our people.”

What is next for OlyBet in terms of HR digital transformation and employee engagement?

Kairit Rebane: “We are excited about the soon-to-be active Onboarding pages and Browser Notifications. In addition, we really appreciate the capabilities of the new Octily Content Editor (OCE). With OCE, we can administer the content, like videos, images, and news articles, in-house and offer our people a truly dynamic site. The OCE is very well organized and enables us to work independently. It saves us time and money and gives us the freedom to update at our own pace.”

Talk to me about working with Octily.

Kairit Rebane: “Working with Octily is very easy and fun. For every idea we came up with, Octily could figure out a way to actually make it happen. There was very good collaboration on the visuals, where we went back and forth to find solutions that were perfect for us. OlyBet and Octily truly worked together as one, equally motivated to get the best results. We worked hard together and also had fun!

Everything is possible with Octily. Working with them exceeded our expectations, and we return to them again and again for new ideas and approaches. OlyBet and Octily share a common solutions-oriented mindset. Every crazy idea we could dream up, Octily expanded on and created a solution.
